01Who this applies to

This policy covers traders and distributors who sign up for the service, their staff and salesmen who use it, and visitors to this website.

Your retailer parties and suppliers whose details you enter are your customers and vendors. You decide what is recorded about them, and we process that data only to run the service for you.

02What we collect

Account details: your name, email, firm name, town, the goods you trade and similar details you share at sign up or when you connect support.

Business data you enter: items, units, rate lists, bills, purchases, stock, party ledgers, cheques, credit limits, salesman routes, GST details and accounts.

Usage data: device type, app version, login times and error logs, used to keep the service working and secure.

Salesman app location is recorded only at shop check-in, only if you switch that feature on, and never tracked in the background.

03How your business data is used

To run billing, stock, ledger, credit, salesman, GST and AI features for your own business.

AI Stock Advisor suggestions are made from your own sales, purchases and stock. Your data is not used to make suggestions for any other trader.

We do not sell your data, rent it or share party lists with anyone, ever.

04Who else may see it

Users you add, with the rights you give them. For example, a godown keeper who sees only stock, or a CA who can view and export books.

Government systems you choose to connect, such as the e-invoice and e-way bill portals, receive only the documents you generate.

Hosting, email and messaging providers that help us run the service, under contracts that keep the data confidential.

Authorities, only when the law requires it and after checking that the request is valid.

05How it is protected

Data is encrypted in transit and at rest, backed up daily, and kept on servers with restricted access.

Every change to bills, rates and credit approvals is recorded with the user name and time.

Offline data on counter computers and salesman phones is stored in the app and synced over encrypted connections.

06How long we keep it

Business data is kept for as long as your account is active and for the period tax laws require you to keep books, unless you ask us to delete it sooner where the law allows.

If you close your account, you can export your data first. After closing, it is deleted from live systems and removed from backups in the normal backup cycle.

07Your choices

You can view, correct and export your business data at any time from within the service.

You can ask for a copy of your account details, ask us to correct them, or ask us to delete them by connecting support.

You can stop marketing mails at any time. Service mails, such as login details and billing notices, will still be sent.

08This website

This website uses only the cookies needed for forms and basic security. Details you submit in the sign up and support forms are sent to our team by mail so we can reply and set up your account.

09Changes to this policy

If we change how your data is used in a meaningful way, we will tell account owners by mail before the change applies.
